Policies

  • A 50% retainer is required to hold your time slot. Your retainer is fully refundable up to 4 weeks (28 days) before your booked date, after which it becomes non-refundable. This fee will be paid via an email transfer, payable via your online banking.

    We do not accept cheques. Your party time and date are not guaranteed until payment of the retainer has cleared. Payment of the retainer indicates agreement to the terms and conditions listed here.

    You will be given the option to pay in full or just pay the retainer upon booking. Should you choose to just pay the retainer, the remaining balance must be paid at least 3 days prior to your party via email transfer or the performers will not show and your retainer will be forfeited.

  • If you have to cancel your party for unforeseen reasons, you must let us know at least 48 hours in advance. Everything except your retainer will be refunded to you. The retainer is transferable and can be used to reschedule your party for another date within one calendar year.

    For corporate bookings, we require a 24-hour cancellation notice and do not offer any refunds for corporate cancellations.

  • Our characters will travel up to 20km from our castle with no travel charge to you. You can check your distance from our castle on Google Maps using K8A 1C9 (Pembroke) or K1V 9A5 (Ottawa) as our office. You can calculate the fee for your party by adding $10 to every 10km over 20km (21-30=$10, 31-40km=$20 and so on).

  • The birthday child's guardian is responsible for any behaviour problems or issues during a party. Our performers will not assume responsibility for providing any disciplinary action during a party. In order to deliver a magical experience for your birthday child, an adult must be in the party space at all times during a party to watch for any behaviour that may become distracting to a party.

    If we arrive at a party and the client is not consistently present in the party room to attend to any basic needs of the children, we reserve the right to leave the party immediately with full compensation from the client. This includes but is not limited to cleaning up bodily fluids, tending to upset children, etc.

  • We ask that all food and beverage-related activities to be saved until after the character leaves. We want your little ones to have happy bellies, but some party snacks could potentially to stain and/or damage costumes. If damage should occur due to food and beverage during the party it is the responsibility of the client to pay for cleaning costs.

  • We do not allow smoking, alcohol, or the use of any other substance while our performers are in attendance at a party. Any guest smoking or drinking will be asked to step outside. For the safety of our performers and equipment, parties cannot be held in a room that is stained by cigarette smoke. An alternate venue must be found by the client if the party space smells of cigarettes. Failure to comply will result in the character leaving the party immediately with full compensation from the client.

  • For the sake of our performers' safety and the maintenance of our equipment/gowns/wigs, we will not perform parties outdoors in temperatures below 18C or exceeding 25C. If there is any form of inclement weather (rain, hail, wind, snow, etc., with any level of severity. the client assumes full responsibility to find an indoor alternate venue and notify CG Princess Parties with a minimum of 24 hours notice. If we arrive at a party to find that it is in violation of this policy, we will ask the client to find an alternate indoor venue. If the client does not oblige, we reserve the right to leave the party with full compensation from the client.

    Provided that the weather is in compliance with our policy noted above, we must be provided with a dry, debris-free, flat paved area for parties intended to be held outdoors. Characters in ballgowns/floor-length gowns cannot be booked for outdoor parties.

    If either party must cancel the engagement due to an “Act of God”, “Force Majeure”, riot, strike, epidemic, or by the order of any public authority, a “rain date” may be arranged on an available date. If no date can be settled upon, this contract shall become null and void, all deposit and balance payments shall be refunded, and both parties shall have no further legal recourse against each other.

  • We love furry friends, but for the protection of our performers and of our gowns, pets are to be leashed and away from the Character. The Character/Host will ask any unleashed pets to be leashed or removed from the party space. Failure to comply will result in the character leaving the party immediately with full compensation from the client.

  • From the moment of arrival until departure, our performers will remain in character! Please refrain from referring to the performer by their given name, or asking questions about the costume or company. We would be happy to answer these questions outside after the party with no little eyes or ears nearby or via e-mail or Facebook. Please help us to keep the magic alive.

  • If at any time a performer/host feels that they are in a threatening, hostile, unsafe, harmful, hazardous, or unsanitary environment, that performer/host retains the right to leave with full compensation from the client. This includes but is not limited to any form of sexual harassment, inclement weather of any sort (see below), verbal or physical abuse, etc. The performer/host also has the right to refuse to perform services if the client is negligent, absent, inattentive, disrespectful, and/or inebriated or under the influence of any foreign substance.

  • Please do not hire character performers from competing companies to appear at the same time as performers from Charm & Grace. This can cause confusion for guests and employees and keep the event from running smoothly. If you aren’t sure, feel free to ask!​

  • Charm & Grace Princess Parties reserves the right to use photos taken at parties/events on their website/other media.

  • Gratuity for the performers is by no means required, but if you feel the performers were exceptional in their work, it is always appreciated.

  • The client understands that waiver of breach of any one of these policies does not indicate waiver of any future violations during the party or at future parties.

  • Charm & Grace is not liable for any injury or illness sustained/contracted during a party.

  • It is not the intention of Charm & Grace Princess Parties to violate any copyright laws. Our characters are not name brand copyrighted characters. Our characters are generic inspiration gathered from the most popular fairytale characters. Any resemblance to nationally known copyrighted characters is incidental.

    No copyright infringement is intended. Should the client use copyrighted names and/or photos for advertising, Charm & Grace reserves the right to cancel.
